Panera Breakfast Catering: The Morning Meeting Playbook (2026)

Bagel packs, coffee totes, and boxed breakfasts: the per-person math and the exact order for 6, 12, or 25 people. The morning items come from the same menu the rest of the day uses, priced there by the item.

Every catering site we checked lists prices and stops there. None of them tells you what a room of 12 actually costs per person, or how many coffee totes that room needs. This page does: three cost anchors, three meeting-size formulas, and one coffee rule, with every figure labeled verified or typical.

$1.42 per person on the Bagel Pack, verified price 3 formulas for 6 to 8, 10 to 15, 20 to 25 people Rule of 10 for coffee, so you never under-order

How to read the labels: Verified prices come from our menu numbers of 9-city averages checked September 30, 2026. Typical figures (serving counts, coffee tote and boxed breakfast prices, lead times, fees) come from catering listings, because Panera does not publish them. Serving sizes, fees, and minimums always carry the typical label; only checked menu prices are called verified.

A coffee tote is Panera's boxed coffee for groups: 120 fluid ounces, about ten servings, brewed fresh to order. A boxed breakfast pairs one breakfast sandwich or pastry with a fruit cup, packed per person. Breakfast catering is the morning side of Panera's catering service; the lunch side is covered in the catering planner.

Start with the anchors

The per-person math

Three numbers run every breakfast catering decision at Panera. Learn these and the formulas below are just arithmetic.

The cheapest way to feed a room

$1.42 per person

Bagel Pack $18.46 ÷ 13 bagels = $1.42. Two cream cheese tubs are included in the pack (typical).

No catering format at Panera, and few anywhere, feeds a person for less. If the budget is the decision, this is the anchor everything else is compared against.

Price verified · Serves 13 typical

The coffee line

~$3.40 per person

Coffee tote ~$34 ÷ 10 servings = ~$3.40. One tote is 120 fl oz, per ezCater and bringmethat reports.

Coffee costs more per head than the bagels do. That is normal, and it is why the rule of 10 below counts coffee drinkers, not people.

Typical

The zero-effort option

$7.69–$11.29 per person

Boxed breakfast: a sandwich or pastry plus a fruit cup, built and labeled per person, on catering listings.

You pay roughly five to eight times the bagel math for zero setup and exact headcount control. Worth it for client meetings; hard to justify for a Tuesday standup.

Typical

The middle path: a simple breakfast order typically runs about $6 to $10 per person, per paneramenuguide. That is the band most office orders land in once coffee and one hot item join the bagels.

Pick your headcount

The 3 formulas

Exact orders for the three meeting sizes that cover almost every morning. Totals are estimated from the anchors above and labeled line by line: copy the formula, then confirm serving counts and fees at your cafe.

Formula 1

6 to 8 people

The small team morning: a standup, a sync, a working breakfast
1 Bagel Pack13 bagels, 2 cream cheese tubs included (typical)$18.46verified
1 coffee tote10 servings, 120 fl oz (typical)~$34typical
1 fruit bowlthe fresh counterweight to a table of bagelsadd-oncafe priced
Estimated total, bagels + coffee≈ $52about $6.50 to $8.75 per person at 8 to 6 people, before the fruit bowl

The decision: this is the cheapest respectable spread you can put in front of a team. Add boxed breakfasts only if people are arriving hungry, not as a default.

Formula 2

10 to 15 people

The standard team meeting: the most common order on this page
1 Bagel Pack13 bagels, 2 cream cheese tubs included (typical)$18.46verified
1 Dozen & a Half Bagelsthe second wave, so latecomers still get a bageladd-oncafe priced
2 coffee totes20 servings, 240 fl oz (typical)~$68typical
Pastries for the tablethe sweet option for the non-bagel peopleadd-oncafe priced
Estimated total, bagels + coffee≈ $86about $5.75 to $8.65 per person at 15 to 10 people, before extra bagels and pastries

The decision: two totes, not one. A 12-person room with one 10-serving tote runs dry before the agenda does; the second tote is the cheapest insurance in catering.

Formula 3

20 to 25 people

The all-hands: department mornings and training days
2 Bagel Packs26 bagels, 4 cream cheese tubs (typical)$36.92verified
1 Morning Continentalserves 8 to 10 (typical): the pastry and fruit layeradd-oncafe priced
3 coffee totes30 servings, 360 fl oz (typical)~$102typical
Boxed breakfasts for the hungrya hot sandwich or pastry plus fruit cup, per person$7.69–$11.29each (typical)
Estimated total, bagels + coffee≈ $139about $5.55 to $6.95 per person at 25 to 20 people, before the Continental and boxed breakfasts

The decision: bagels carry the room, boxed breakfasts carry the appetites. Order boxes for roughly a third of the room: the people who skipped breakfast at home.

Reading the totals: bagel prices are verified 9-city averages; coffee tote prices, serving counts, and boxed breakfast prices are typical and vary by cafe. Treat every total as an estimate to confirm at ordering, not a quote.

The value box

The bagel pack vs singles

The single most common ordering mistake we see costed out. Both sides of this comparison are checked menu numbers prices; only the pack’s serving count is typical.

13 single bagels

$25.74
13 × $1.98 each, verified. No cream cheese included: tubs are a separate line.

1 Bagel Pack

$18.46
13 bagels, verified price, with 2 cream cheese tubs included (typical).

The pack saves ~$7.28 before you count the cream cheese you no longer have to add. Never order singles for a group: the pack exists precisely so you do not have to.

Get the coffee right

Coffee: the rule of 10

Every figure here is per ezCater and bringmethat reports, because Panera does not publish tote specs. The rule itself is the part worth memorizing.

1 tote = 10 servings

That is the unit. A tote is not “coffee for the room”; it is 10 servings, and rooms drink more than one serving each.

120 fl oz

The volume behind the count: about 12 oz per serving. Useful when you are comparing against brewing your own.

1 tote per 8–10 drinkers

Order per coffee drinker, not per person: not everyone in the room drinks coffee, and drinkers rarely stop at one cup.

15 min per tote

Allow roughly 15 minutes of prep per tote (typical). Three totes for an 8 a.m. meeting means ordering well ahead, not at 7:45.

Worked example: 15 people, roughly 10 coffee drinkers: 2 totes. The second tote feels like a luxury when you order it and like foresight at 8:40 a.m.

Run the morning

The morning timeline

Breakfast catering fails on timing more often than on food. Three checkpoints, all typically, keep the morning boring in the good way.

24 to 48 hours ahead

Place the order

That lead time is typical (typical), and it is what the 15-minute-per-tote coffee math quietly demands. Pick your formula above and order the whole thing at once, bagels, totes, and add-ons together.

The day before

Confirm the window

Confirm the morning delivery window with the cafe, and confirm the delivery fee at the same time: fees vary by cafe and are not published. A 9 a.m. meeting wants food down by 8:30.

Morning of

Hot items last

Put bagels, fruit, and coffee out first; soufflés and breakfast sandwiches go out last so they are eaten hot, not held warm. Cold food forgives an early start; hot food does not.

Questions, answered

Frequently Asked Questions

  • It depends on the format you choose. A Bagel Pack works out to $1.42 per person (verified $18.46 price, serves 13 typical), a coffee tote adds about $3.40 per coffee drinker, and a boxed breakfast runs $7.69 to $11.29 per person on catering listings. A simple breakfast order typically lands around $6 to $10 per person, per paneramenuguide. The 3 formulas above turn those anchors into exact orders.

  • 13, per paneramenuguide reports: 13 bagels with 2 cream cheese tubs included. At the verified $18.46 price that is $1.42 per person, the cheapest way to feed a room at Panera. Buying the same 13 bagels as singles costs $25.74 verified, so the pack saves about $7.28.

  • 10 servings, 120 fl oz total, per ezCater and bringmethat reports, at roughly $34.12 per tote (about $3.40 per person). Order one tote per 8 to 10 coffee drinkers, not per 10 people, and allow about 15 minutes of prep per tote. Full reasoning is in the rule of 10 above.

  • 24 to 48 hours ahead is typical (typical). Confirm the morning delivery window the day before, and put hot items (soufflés and breakfast sandwiches) last in the order so they arrive freshest. The morning timeline lays out all three checkpoints.

  • Delivery fees vary by cafe and are not in our checked menu numbers, so confirm the fee when you order. The food math on this page does not include delivery: budget the bagel, coffee, and boxed prices first, then add whatever your cafe quotes. Minimums likewise vary by cafe; ask when you place the order.

  • Bagels with cream cheese, fruit, pastries, and oatmeal all work as-is, which is why every formula above is built on them. The Steel Cut Oatmeal with Strawberries and Pecans is $6.14 verified if you want a warm individual option. See the vegetarian guide for the full no-modification menu.
